What we collect on this website, why we collect it, who helps us handle it, and the choices you always have. Plain language, no surprises — the way a neighbor would explain it.
The short version
We collect only what you choose to give us — a message, a guest card, a referral, or a service request — and we use it for exactly what you'd expect: answering you and helping you find a home at The Fair Grounds. We don't sell your information. Ever. The contact form emails our team; the guest card, referral, and service-request forms go to Mayfair Management Group's leasing system so a real person can follow up.
What we collect
Contact form: your name, email, phone if you share it, and your message, plus anything optional you fill in such as a move-in timeframe — the form delivers it to our team's inbox by email through our form-delivery service (see “Who helps us handle it” below); if that service is unavailable, the form opens the message in your own email app instead, so nothing is lost. Guest card: your name, contact details, current address, optional date of birth and driver's license, and what you're looking for — a three- or four-bedroom home and when you'd like to move. Chat with Mira: the messages you type to Mira, so she can answer them. Refer-a-friend: your name and contact details plus your friend's, so our team can reach out personally. Service requests (residents): your name, your home's address, contact details, and the issue. We don't run advertising trackers, and we don't collect payment information on this site.
How we use it
To respond to you, to help you find a home here, to schedule a visit, and to complete maintenance requests. Guest cards, referrals, and service requests are delivered to Mayfair Management Group's leasing system (Yardi, via our leasing-assistant platform) — along with a time-stamped record of any consent you gave — so a real leasing team can follow up.
Text & email messages and consent
The guest card includes an optional consent checkbox for automated texts and emails about openings and your guest card. It is never pre-checked, and consenting is not a condition of leasing; the residents' service-request form has a similar optional checkbox for a confirmation text and email about that one request. If you opt in you may receive a confirmation text and leasing-related messages; message frequency varies, message and data rates may apply, you can reply STOP any time to stop or HELP for help, and we keep a time-stamped record of your consent.
Stored in your browser
If a guest card, referral, or service request can't reach our leasing system right away (a network hiccup, say), it waits in your own browser's storage (localStorage, under the names fg-guestcard-queue-v2 and fg-workorder-queue-v2) and is sent the next time you open the guest-card or residents page. Sensitive details like date of birth and driver's license are never kept in that queue; they are removed before anything is stored. You can clear your browser storage at any time, and if something is urgent, please email the office — contact details are in the footer of every page.
Who helps us handle it
Our website hosting provider serves the pages. Google Fonts serves the typefaces (Google receives your IP address to deliver the font files). Web3Forms, a form-to-email service, delivers contact-form messages to our team's inbox — it processes what you type into that one form in order to email it to us (their privacy policy). Mira, our leasing-assistant platform, answers chat messages and files guest cards, referrals, and service requests into Yardi, the property-management software Mayfair Management Group uses, along with a record of any consent you gave. The neighborhood map is drawn with the Leaflet library, loaded from the unpkg CDN (which receives your IP address to serve it), and loads map tiles from OpenStreetMap, whose servers receive your IP address and the area of the map you're viewing (their privacy policy). Google Analytics is present in the site's code but switched off — it only runs if we enable it, and we'd update this policy first. We don't sell or rent your personal information to anyone.
Cookies & analytics
This site sets no cookies and runs no analytics today. If we ever enable Google Analytics, it would set analytics cookies and tell us things like how many people visited and which pages helped them — with IP addresses anonymized and never your name — and we'd update this policy first. Our pages load their typefaces from Google Fonts, and the neighborhood page loads map tiles from OpenStreetMap; each receives your IP address in order to serve those files.
Keeping it safe
The site is served over HTTPS, and the availability feed shares which homes are open or coming soon (address, size, rent, and timing) plus overall counts — never resident names, contact details, or anything tied to a household; for a home already on notice we show only the month it becomes available, never a lease date or anything about who lives there. Access to the leasing system is limited to the people who need it. No website can promise perfect security, but we treat your information the way we'd want ours treated.
How long we keep it
Anything you email us, and your chat conversations with Mira, are kept as ordinary leasing correspondence for as long as needed to work with you and as our record-keeping obligations require. Guest cards, referrals, and service requests are kept in the leasing system as part of your file for as long as we work with you and as those obligations require; a copy waiting in your browser's retry queue stays only until it is sent or you clear it. Want something deleted sooner? Email jfk@mayfairmgt.com and we'll take care of it.
Your choices
Want to see, correct, or delete what you've sent us? Email jfk@mayfairmgt.com and we'll take care of it. You can clear your browser's storage to remove anything a form queued on your device, and you can always reach the office — details are in the footer below.
About minors
The Fair Grounds is a family community of three- and four-bedroom homes, but this website is directed to adults searching for a home. We don't knowingly collect information from anyone under 18 — if you believe a minor has submitted information here, contact us and we'll delete it.
Changes & contact
